Data we process on this website
This website has no sign-up and no forms. We only process what you send us by email (your name, address and message) in order to reply, on the basis of your consent or of pre-contractual measures.
With your marketing consent, the Meta pixel collects browsing data to measure and optimise advertising campaigns. Without that consent it is not loaded.
The VideoSuite service
When an organisation uses VideoSuite, meetings are recorded with notice to participants, and access logs of shared links are processed (number of visits, duration, parts viewed, IP address, approximate location, browser, system and screen size). These logs are visible to the host and kept for a limited period.
In that case the organisation is the controller and Codelabs Studio S.L. acts as processor.
Meeting infographic (paid plans)
For meetings on paid plans we generate one infographic image per meeting with Google's Gemini API (Google AI Studio, model gemini-3-pro-image), from the data of the already validated report: title, topics, figures, decisions and open tasks with the responsible person's first name and due date. A second call to Gemini Flash-Lite reads the text of the generated image to check that it is correct. It is not generated for test meetings or for meetings with health data. We do not send Google the audio, the video or the full transcript, only the report data listed above.
Google acts as processor. If the processing takes place outside the European Economic Area, the transfer is covered by the European Commission's standard contractual clauses or by the EU-US Data Privacy Framework, as applicable.
Webhooks and payments
The organisation can configure outgoing webhooks so that VideoSuite sends the events of its meetings (for example, when a summary is ready) to its own systems. The destination is chosen and controlled by the organisation, which is responsible for that recipient.
Paid one-to-one sessions are charged through Stripe Connect. Stripe processes payment data as an independent controller; Codelabs Studio S.L. does not store card details.
The terms for buying, cancelling and refunding those sessions, and the platform fee, are in the Terms of sale for paid sessions.
How we analyse the use of the service
We want to understand what fails and what we do not explain well. To do so we analyse activity figures for each account of the service (for example, when it last signed in and how many meetings it has been in, as organiser or as participant) and the opinions its users send us from the application or when they cancel their subscription. Those opinions and the reason for leaving, if given, are stored with the account and deleted with it.
The recordings, transcripts, summaries, chat and files of meetings are sensitive content and are not part of this analysis: from them we only use those figures, never their content. The internal report on an account, which only the Codelabs operator can open, shows its administrative data and meeting counts, with no transcripts or summaries. The application uses no heatmaps or session recording, inside or outside the rooms.
Churn risk: with those figures we classify each account internally (for example, active or at risk of leaving the service), which tells us whom we should ask whether they need help. It is profiling based on our legitimate interest (Art. 6.1.f GDPR) and you can object by writing to hola@videosuite.pro, with no need to give reasons and without losing the service.
Follow-up emails: after you sign up or cancel we may send you a few personal emails based on your activity. They do not mention the content of your meetings and you can stop them in your profile in the application.
No automated decisions: that classification produces no legal effects on you and does not similarly affect you: it does not change your price, your plan or your access.
Basis: legitimate interest (Art. 6.1.f GDPR). Controller of this analysis: Codelabs Studio, S.L., PASAJE Federico García Lorca, 6, 3º E, 29130 Alhaurín de la Torre (Málaga), Spain.
Retention
We keep emails for as long as the conversation lasts and the applicable legal period, and then delete them.
Recipients
We host data on servers in the European Union. To deliver the service we use these processors, under contract: Cloudflare R2 (storage, EU jurisdiction), AssemblyAI (transcription, through its European Union endpoint; the transcript and audio are deleted from AssemblyAI as soon as we save the result), Google Gemini served in the EU (meeting summary), Google's Gemini API (infographic of meetings on paid plans) and Stripe (payments). We do not sell personal data.
Your rights
You can exercise your rights of access, rectification, erasure, objection, restriction and portability by writing to hola@videosuite.pro. If you are not satisfied you can complain to the Spanish Data Protection Agency (aepd.es).
